1. SRA Student Events Portal

The New Jersey Music Teachers Association ("NJMTA", "we", "us", or "our") operates the NJMTA Recital Portal (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service to manage teacher profiles, register for events, and manage student enrollments.

2. Information We Collect

We collect information that you voluntarily provide to us when you register on the Service, express an interest in obtaining information about us or our events, or otherwise contact us.

  • Teacher & Admin Account Information: When creating an account, we collect personally identifiable information including your first and last name, email address, and your official MTNA ID.
  • Supplemental Profile Information: After account creation, teachers and admins may optionally provide additional contact details within their profile settings, such as a phone number and physical address, to facilitate organizational communication and event logistics.
  • Student Information: To facilitate event and recital registration, teachers provide information regarding their students. This includes the student's first and last name, birthdate, and primary instrument. Students do not create their own accounts; all student data is managed strictly by their respective, authorized teacher.
  • Payment Information: If you register for paid events, financial transactions are processed by our third-party payment processors (e.g., PayPal). We do not directly store or manage your credit card numbers or bank details on our servers.

3. How We Use Your Information

We use the information collected via the Service for the following business purposes:

  • To Manage Accounts: To create and manage teacher profiles and authenticate secure logins.
  • To Facilitate Recital Registrations: To organize events, schedule auditions, manage ensemble/duet groupings, and verify active NJMTA membership status.
  • To Communicate: To send administrative information to you, such as event confirmations, platform updates, or changes to our terms and policies. We may use your provided email and phone number for urgent event-day coordination.
  • Administrative Oversight: To allow authorized NJMTA administrators to oversee event scheduling, verify MTNA ID claims, and generate financial or registration reports.

4. How We Share Your Information

We do not sell, rent, or trade your personal information to third parties. We may share information in the following specific situations:

  • Service Providers: We share data with trusted third-party vendors that perform services for us, specifically Google Cloud/Firebase (which provides our secure database, hosting, and authentication infrastructure) and our payment processing partners.
  • Administrative Access: Designated NJMTA Administrators and Financial Managers have secure, read-only or authorized write access to registration, teacher, and student data strictly for organizational operations, auditing, and event management.
  • Legal Obligations: We may disclose your information where legally required to do so to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process.

5. Data Security and Access Control

We use administrative, technical, and physical security measures to help protect your personal information. Our database employs strict, role-based security rules. Teacher profiles and student lists are strictly isolated; a teacher can only access and modify the records of their own students. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that no security measures are perfect or impenetrable.

6. Student Participants' Privacy

The Service is designed to be used exclusively by adult music teachers and NJMTA administrators. We do not knowingly collect personal information directly from children under the age of 18. All data regarding minors (such as names and birthdates required for recital categorization) is provided directly by the minor's teacher. Teachers are responsible for obtaining the necessary consent from parents or legal guardians before entering a student's information into the Service. If we learn that personal information from users less than 18 years of age has been collected without verifiable parental consent, we will deactivate the associated records.

7. Data Retention and Deletion

We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Policy unless otherwise required by law. Teachers may update or correct their profile information (including phone numbers and addresses) and their students' information at any time through their portal dashboard. To request the complete deletion of your account and associated student data, please contact us using the information provided below.
